1. Who we are

This website (theseocompany.com.au) is operated by Code Research Pty Ltd, ABN 79 640 240 240, trading as The SEO Company. Our office is at 3 Loftus St, West Leederville WA 6007, Australia. When we use "we", "us" or "our" in this policy, we mean Code Research Pty Ltd.

2. The privacy laws we follow

We are bound by the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth), as amended by the Privacy Amendment (Notifiable Data Breaches) Act 2017. This policy explains how we collect, hold, use, disclose, secure and give you access to your personal information.

3. What we collect and how

We only collect personal information that we genuinely need to provide our services or to respond to you. In practice this is:

  • Contact form submissions: your name, email, phone, and the content of your enquiry. Submitted via the contact forms on this site.
  • SEO audit requests: your name, email, phone, and the URL you want audited. Submitted via the free audit tool.
  • Email correspondence: any information you choose to share when you email us directly.
  • Analytics and usage data: anonymous data about how this site is used (pages visited, time on page, country, device type). Collected via Google Analytics 4 and Google Tag Manager.
  • IP address and basic browser data: captured by Cloudflare (our hosting provider) for security, abuse prevention, and rate limiting. Also logged against contact form submissions for spam detection.

We do not collect sensitive information as defined by the Privacy Act (health, racial or ethnic origin, political opinion, religious beliefs, sexual orientation, genetic information, or biometric data).

4. Why we collect it

  • To respond to your enquiry and deliver any service or audit you have requested.
  • To send you reports, audit results, and reasonable follow-up about the work in progress.
  • To improve our website and the way we present our services.
  • To meet our legal and tax obligations.

We do not buy or sell personal information. We do not send unsolicited marketing email to addresses obtained from third parties.

5. Who we share it with

We share personal information only with the third-party services we use to operate our business. Specifically:

  • Cloudflare (US, with edge presence in Sydney) : web hosting, DNS, security, captcha (Turnstile), serverless functions, and our database.
  • Resend (US) : transactional email delivery for contact form notifications and audit reports.
  • Twilio (US, Australia) : SMS notifications for new contact form submissions.
  • Google (US, Australia) : Google Analytics 4, Google Tag Manager, Google Search Console, Google Workspace email.
  • Our accountant (Australia) : for tax compliance, when relevant.

Some of these providers store data outside Australia, including in the United States. By using this site or submitting a form, you consent to your personal information being processed in those locations under those providers' standard privacy and security terms.

We will not disclose your personal information to any other third party except where required by Australian law or with your explicit consent.

6. How we store and secure it

Personal information submitted via this site is stored in:

  • Our Cloudflare D1 database (encrypted at rest, accessed only by our team).
  • Our Google Workspace email accounts (Gmail) when you email us or when a form submission is forwarded to us by email.

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes HTTPS encryption in transit, encrypted database storage, two-factor authentication on internal accounts, and Cloudflare-provided spam filtering on the contact forms.

7. How long we keep it

We keep enquiry data for as long as the enquiry is active and for a reasonable period afterwards (usually 7 years for tax record-keeping). If you ask us to delete your data, we will do so unless we are legally required to retain it.

8. Cookies and tracking

This site uses cookies set by Google Analytics 4 and Google Tag Manager to understand aggregate usage. You can opt out of GA4 tracking via the Google Analytics opt-out browser add-on or by enabling Do Not Track in your browser. We do not currently use marketing cookies (no Meta Pixel, no Google Ads remarketing) on this site.

9. Your rights

Under the Privacy Act, you have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct any personal information that is inaccurate.
  • Ask us to delete your personal information (subject to any legal retention obligation).
  • Opt out of any non-essential communications from us.
  • Make a privacy complaint to us, and if unresolved, to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

To exercise any of these rights, email [email protected] with the subject line "Privacy request". We will respond within 30 days.

10. Data breach notification

If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information we hold, we will notify those individuals and the OAIC in line with the Notifiable Data Breaches scheme.
